Throw away those contact cards and save a forest!

It really surprises me that many of our customers out there are not using the Contact Manager which comes as standard in the Sales Module.
The Contact Manger allows you to set outstanding tasks for individuals or a team, and can give you full visibility of everyone’s previous conversations with that customer.

This of course has lots of advantages such as not having to go to filing cabinets to find information, or contact a colleague who the customer says is dealing with something for them to get an update. Tasks can also be set to remind your staff to contact customers on a regular basis.

Now I know the screen at first glance can look a little challenging but it really isn’t. You just need to know what you want to do and decide on how you want people to use it.

For example:

If you wanted to use it as a task list for your staff in relation to customer contact you may set up the screen in the following way:

The screen shot above shows the tasks I have to do prior to tomorrow

  1. I have added the “Action Date” field to my grid.
  2. I am running a “Query” that only shows tasks whose “Activity Date” is” Less Than” tomorrow.
  3. I have selected to view for “All Companies”.
  4. I have selected only “User Outstanding”.
  5. User Name defaults to me as I am the one logged in.
  6. Group defaults to my Group and can be used when assigning tasks to a group rather than an individual.
